Executive Secretary

  • Client is a bank in West Covina
  • Position is Temp-to-Hire
  • Shift is Monday – Friday from 8:30am – 5:30pm
  • Salary is $25 – $30/hour (DOE)

Job Description:
Duties for this position include, but are not limited to:

  • Provides professional secretarial and administrative support to the President/CEO, CFO and Board of Directors
  • Takes minutes for board minutes and corporate committee meetings, maintains a digital and library of the minutes and provides minutes for review after each meeting
  • Serves as the bank’s vendor management coordinator for third-party vendors
  • Coordinates policies and procedures for annual review and approval
  • Maintains and controls the administration of bank policies, procedures, files, records, certificates, and meeting minutes
  • Primary coordinator for board and management committee meetings
  • Serves as a liaison between the loan department and loan committee for approval of credit approval memorandums
  • Manages and maintains calendar, appointments, and schedule external and internal meetings for executive management
  • Collects, compiles, and distributes the monthly meeting agendas, reports, and meeting materials accordingly
  • Provides and aids in the production of requested items for regulatory examinations and audits conducted throughout the year
  • Attains and maintains current knowledge of federal regulations through annual training
  • Other related duties as assigned

Minimum Qualifications:
Ideal candidates should possess the following skills/qualifications demonstrated through previous work experience:

  • 2 or more years of college or business school preferred
  • 4 or more years of secretarial experience, preferably in finance/banking industry
  • Paralegal or legal secretary experience preferred but not required
  • Meeting minutes experience preferred
  • Excellent typing and computer skills
  • Proven experience with MS Office
  • Great written and verbal communication skills
  • Knowledge of shorthand and/or speedwriting
  • Maintain a high level of confidentiality and handle sensitive information with integrity
